How You Can Set Priorities And Achieve More

--

Nobody likes a shouting and yelling boss.

If you are one of those employees who have never been a victim of a boss’s anger then just reach your boss with incomplete and overdue tasks assigned to you. You will get to know how it feels (you might not want to know).

I have one of my clients who was a victim of continuous shouting by his boss. He doesn’t want to reveal his identity, so let’s just call him Sam.

No, he was not a clumsy employee (that’s what he told), but he was mismanaging work. He could be seen muddled up at most of the times and turning the pages of his notepad looking for deadlines and list of pending tasks. He was always seen working but still, he was not able to go home happy completing the assigned tasks within the deadline. He was never into making the right decision and didn’t know how to set priorities.

Reasons He Was Mismanaging

As soon as he shared his problem, I figured, a messed up to-do list is one of the primary reasons he was facing all these problems. He was not able to judge and pick a task to start with from the “important task list”. Most of the employees in recent days face the issue of task prioritization and it’s one of the most problematic issues that hinders productivity.

Finding the Solution

Finding the right amount of time to get all the tasks done needs planning, collaboration, and organization of all the tasks.

While sharing his story, Sam told me that he was in the continuous lookout for the perfect solution to his problem. He was not ready to compromise at any point, so, by the time he reached the conclusion of introducing project management software in his company to automate every task done. So, here is how ProofHub helped Sam prioritize work.

ProofHub: A Centralized Place For All Your Work

It is a versatile project management tool that offers various tools to ease your work process. Prioritizing the tasks and accomplishing all of them within the specified time becomes much simpler, easier and faster with a tool like ProofHub.

How ProofHub Helped Sam Achieve His Desired Targets?

The software is a collection of various tools that allow employees to work flexibly. The list of tasks shared by all the assignees gives a clear picture of the total work on their plate. It helped Sam to make a strategy to complete all the tasks as per the set priorities. Moreover, eating the ugly frog first helped to give the right start to the day. The initial working hours are more productive as compared to the rest of the day, so reaping their benefits to the fullest is the common trick the team started using.

  • Gantt Chart

Sam wanted to create project schedules, and track the work progress, so he managed his resources and planned all the tasks using a Gantt chart. He was able to use the visual timeline feature of the tool and plan the projects in a better way which helped him to complete the tasks without wasting much time in planning the project again and again.

He was able to make the team more accountable by setting the dependency of one task on another. There was no struggle using the project information remotely, ProofHub gave him and his team everything at one centralized place.

  • Time tracking

Prioritizing is a concept that revolves around one of the most important factors: time. Keeping a check on the areas where time is spent becomes a necessity when one has a lot on their plate to do.

He used the tool to set the time estimates to do tasks and subtasks which gave him the opportunity to manage his time.

Sam said that the best thing he liked about the tool was the timer. It helped him get the idea of the time spent on the task which gradually increased his productivity.

  • Task management

One thing which I remember from that meeting when he was sharing his experience: “Now I don’t need to send a report of my tasks to my boss. Also, he does not wonder anymore on which projects I am working.”

The reason was the task management software. No long meetings, no wastage of time in assigning tasks to the team members. The team now gets time to do other tasks rather

than creating one task time and again with recurring tasks. One can set recurring tasks daily, weekly, monthly and yearly.

  • Quickies

I believe that creative and unique ideas are gems. Ideas can strike our mind any time and they need to be jotted down.

Sometimes, the situation becomes, “Ugh, it was in my mind 2 hours ago, but now it is on the tip of my tongue and nowhere to be remembered.”

You must have experienced this a lot of times and might have wished to note them down first before they overpass.

ProofHub provides a personal space to the users to write down anything that has to be referred after some time. Sam and his team used this tool to make quick notes of the ideas, tips, quotes, thoughts, etc.

He and his team saved a lot of time to move from one section in the tool to another.

Yes, the Team is Now Managing Work The Easiest Way

These were some of the ways in which Sam helped himself and his team to get over the problems he was facing at the workplace. He also helped the rest of the team members to find different ways to manage all the work and set priorities accordingly with the successful implementation of a project management tool in the company. His boss appreciated him (yes, this happened with him) for his proposal of bringing this change at the workplace.

No more problems were faced, everything is sorted in his team now. All the tasks are covered under the assigned deadlines and as per the set priorities.
